Stay informed about important hiring activities with customizable notification settings.
Notification Types
Email Notifications
Receive updates via email:
- Immediate alerts for urgent items
- Daily digests for regular updates
- Weekly summaries for overview
Configure: User Settings → Notifications → Email Preferences
In-App Notifications
See updates within Candidate Audit:
- Bell icon in top nav shows count
- Click to see notification list
- Mark as read/unread
- Quick access to related item
Always enabled: Can't disable in-app notifications, but can customize what triggers them.
Browser Push Notifications
Real-time alerts even when tab not active:
- Requires browser permission
- Desktop only (most browsers)
- Option to enable/disable per notification type
Configure: User Settings → Notifications → Push Notifications
What You Can Be Notified About
Assessment Events
Assessment Complete
- When: AI agent evaluation finishes
- Who: Candidate owner, campaign owner
- Frequency: Immediate
- Contains: Candidate name, overall score, quick link
Assessment Failed
- When: Assessment encounters error
- Who: Person who requested assessment
- Frequency: Immediate
- Contains: Error details, retry link
Default: ✅ Enabled (recommended)
Candidate Events
Candidate Added
- When: New candidate added to campaign
- Who: Campaign team members (optional)
- Frequency: Immediate or daily digest
- Contains: Candidate name, who added, campaign
Candidate Status Changed
- When: Pipeline status updates (e.g., to "Interviewed")
- Who: Campaign owner, assigned team member
- Frequency: Immediate or daily digest
- Contains: Candidate name, old/new status
Default: ⬜ Disabled (can be high volume)
Team Collaboration
Mentioned in Comment
- When: Someone @mentions you
- Who: You
- Frequency: Immediate
- Contains: Comment preview, candidate link
Comment on Followed Candidate
- When: Team comments on candidate you're tracking
- Who: You (if following candidate)
- Frequency: Immediate or daily digest
- Contains: Comment preview, commenter
Assigned to Candidate
- When: Someone assigns you to candidate
- Who: You
- Frequency: Immediate
- Contains: Candidate name, who assigned, instructions
Default: ✅ Enabled (recommended for collaboration)
Campaign Events
Campaign Shared With You
- When: Someone grants you campaign access
- Who: You
- Frequency: Immediate
- Contains: Campaign name, your access level, sharer
Campaign Settings Changed
- When: Someone modifies campaign requirements or settings
- Who: Campaign team members
- Frequency: Daily digest
- Contains: What changed, who changed it
Default: ✅ Enabled for campaign owners
To-Do Reminders
To-Do Assigned
- When: Someone assigns you a task
- Who: You
- Frequency: Immediate
- Contains: Task description, due date, candidate
To-Do Due Soon
- When: Task due in 24 hours
- Who: Assigned person
- Frequency: Daily at 9 AM
- Contains: All upcoming tasks
To-Do Overdue
- When: Task past due date
- Who: Assigned person (and campaign owner)
- Frequency: Daily
- Contains: Overdue tasks list
Default: ✅ Enabled
System Notifications
Invitation Received
- When: Invited to new organization
- Who: You
- Frequency: Immediate
- Contains: Org name, inviter, accept link
Subscription Changes
- When: Billing changes, credit refills
- Who: Organization admins
- Frequency: Immediate
- Contains: What changed, effective date
Default: ✅ Always enabled (can't disable)
Notification Frequency Settings
Immediate
Receive notification right when event happens.
Best for:
- @mentions
- Assessment completions
- Task assignments
- Time-sensitive items
Drawback: Can be interruptive if high volume.
Daily Digest
Receive one email per day with all events.
Best for:
- Candidate status changes
- Team comments
- Campaign updates
- Non-urgent items
Timing: Choose when you receive digest (default: 9 AM your timezone)
Drawback: Delay in awareness.
Weekly Summary
Receive one email per week with overview.
Best for:
- High-level activity review
- Executives or advisors
- Low-involvement team members
Timing: Choose day and time (default: Monday 9 AM)
Drawback: Not suitable for active participation.
Disabled
No notifications for this event type.
Best for:
- Events you don't care about
- High-noise items
- When you'll check manually
Configuring Notifications
Per-User Settings
User Settings → Notifications
Control your personal notification preferences:
- Select notification type
- Choose frequency (immediate, daily, weekly, off)
- Select channels (email, in-app, push)
- Save
Your settings don't affect others: Each team member configures their own preferences.
Organization Defaults
Organization Settings → Notification Defaults (Admin only)
Set default preferences for new team members:
- Assessment complete: Immediate email
- Mentions: Immediate email and push
- Comments: Daily digest
- Status changes: Disabled
Note: New members can override these defaults personally.
Campaign-Specific Overrides
Customize notifications per campaign:
Campaign Settings → Notifications
Override organization defaults for this campaign:
- "High-priority campaign": All notifications immediate
- "Low-priority campaign": All notifications weekly
Notification Management
Notification Center
Click bell icon to see all notifications:
- Unread (bold): New notifications
- Read (regular): Previously viewed
- Archived: Dismissed notifications
Actions:
- Click notification → Go to related item
- Mark as read
- Mark all as read
- Archive
- Delete
Email Preferences
Email notification settings:
- ✅ Enable HTML emails (rich formatting)
- ⬜ Enable plain text only (simple)
- ✅ Include direct action links
- ✅ Include preview of content
Quiet Hours
Set do-not-disturb times:
User Settings → Notifications → Quiet Hours
- Weekdays: 6 PM - 8 AM
- Weekends: All day Saturday, Sunday
What happens:
- In-app notifications still appear
- Email notifications queued until quiet hours end
- Push notifications disabled
Use for: Work-life balance.
Muting Notifications
Mute Specific Candidate
Stop notifications for one candidate:
- Open candidate profile
- Click "..." menu
- Select "Mute Notifications"
Still accessible; just no alerts.
Use when: Candidate withdrawn but you want to keep data.
Mute Campaign
Stop all notifications from a campaign:
- Campaign settings
- Notifications tab
- Click "Mute This Campaign"
Use when: Campaign paused or archived.
Snooze Notifications
Temporarily pause notifications:
- 30 minutes: During focus time
- 2 hours: During meetings
- 24 hours: During PTO
- Custom: Set specific time
Access: Notification dropdown → "Snooze"
Notification Batching
Combine Similar Notifications
Instead of 5 emails for 5 assessments, receive 1:
"5 assessments completed in Engineering Campaign"
Enable: User Settings → Notifications → "Batch similar notifications"
Batching window: 15 minutes (collects similar events)
Smart Batching
AI groups related notifications intelligently:
- All comments from same discussion
- Multiple status changes for same candidate
- Related to-dos
Enable: User Settings → Advanced → "Smart notification batching"
Mobile Notifications
Mobile App (if available)
Configure mobile-specific settings:
- Allow notifications
- Badge app icon with count
- Sound and vibration
- Lock screen display
Mobile overrides desktop quiet hours (different schedules).
SMS Notifications (Enterprise)
Receive critical alerts via SMS:
- Assessment failed
- Urgent to-do assigned
- Offer deadline approaching
Configure: User Settings → Notifications → SMS Preferences
Limits: Max 5 SMS per day to prevent overuse.
Troubleshooting Notifications
Not Receiving Emails?
Check:
- Email address correct in profile
- Spam folder
- Notification enabled for this event type
- Not in quiet hours
- Email domain not blocking sender
Test: User Settings → Notifications → "Send Test Email"
Too Many Notifications?
Solutions:
- Switch high-volume items to daily digest
- Mute low-priority campaigns
- Disable comment notifications if not needed
- Enable notification batching
- Adjust quiet hours
Missing Important Notifications?
Ensure:
- Critical events set to immediate
- Quiet hours not covering work time
- Not muted relevant campaigns/candidates
- Email filters not auto-archiving
Best Practices
Start conservative: Begin with fewer notifications, add more if needed.
Use digests: Daily digest for most items, immediate for truly urgent ones.
Quiet hours: Set them to maintain work-life balance.
