Profile Management
Configure your personal account settings, preferences, and security options.
Accessing Your Profile
Click your avatar or name in top right navigation → Select "Profile Settings"
Profile Information
Basic Details
Update your information:
Full Name: How you appear to team members
Email Address: Primary contact and login email
Profile Photo: Upload photo or use avatar (shown in comments, activity)
Title/Role: Your position (helps team understand your perspective)
Time Zone: Ensures timestamps and deadlines display correctly
To edit:
- Profile Settings → "Basic Information"
- Update fields
- Save changes
Email Verification
Verify your email address:
- Required for account security
- Enables password reset
- Confirms notification delivery
To verify:
- Check inbox for verification email
- Click verification link
- Confirmation message appears
Resend verification: Profile Settings → "Resend Verification Email"
Changing Email Address
Update your primary email:
- Profile Settings → "Email Address"
- Enter new email
- Verify old email (security check)
- Verify new email
- Email updated
Note: All future notifications go to new address.
Account Security
Password Management
Change your password:
- Profile Settings → "Security"
- Click "Change Password"
- Enter current password
- Enter new password (twice)
- Save
Password requirements:
- Minimum 12 characters
- At least one uppercase letter
- At least one number
- At least one special character
Two-Factor Authentication (2FA)
Enable 2FA for additional security:
- Profile Settings → Security → "Enable 2FA"
- Choose method:
- Authenticator app (recommended)
- SMS (backup)
- Follow setup instructions
- Save recovery codes
- Confirm activation
Recovery codes: Store safely—needed if you lose 2FA device.
Active Sessions
View and manage logged-in sessions:
Profile Settings → Security → "Active Sessions"
Shows:
- Device type
- Browser
- Location (approximate)
- Last activity time
Actions:
- Log out specific session
- Log out all other sessions
- Report suspicious activity
Use when: You forgot to log out on shared computer.
Login History
View recent logins:
Profile Settings → Security → "Login History"
Shows:
- Date and time
- Device and browser
- IP address
- Location
- Success/failure
Review regularly to detect unauthorized access attempts.
Notification Preferences
Manage how you receive notifications.

Quick settings available in profile:
- Email notification frequency
- Push notification enable/disable
- Quiet hours
- Digest timing
Display Preferences
Theme
Choose interface theme:
- Light mode: Bright, traditional
- Dark mode: Easier on eyes, better for low light
- Auto: Matches system preference
Profile Settings → Display → "Theme"
Density
Adjust interface spacing:
- Comfortable (default): Standard spacing
- Compact: More content visible
- Spacious: Larger, easier to read
Profile Settings → Display → "Density"
Language
Select interface language:
- English (US)
- English (UK)
- Spanish
- French
- German
- (More languages on roadmap)
Profile Settings → Display → "Language"
Date and Time Format
Choose how dates display:
- MM/DD/YYYY (US)
- DD/MM/YYYY (UK/EU)
- YYYY-MM-DD (ISO)

Email Preferences
Notification Emails
Control notification email behavior:
Profile Settings → Email
Options:
- ✅ Receive immediate alerts
- ✅ Daily digest enabled
- ⬜ Weekly summary enabled
- ✅ Marketing emails
- ⬜ Product updates
- ✅ Security alerts (always on)
Email Frequency
Set how often you receive emails:
- Realtime: As events happen
- Hourly: Batched every hour
- Daily: Once per day
- Weekly: Once per week
Different frequency for different event types possible.
Unsubscribe
Unsubscribe from non-essential emails:
- Click "Unsubscribe" at bottom of any email
- Or: Profile Settings → Email → "Manage Subscriptions"
Security and critical emails cannot be disabled.
Privacy Settings
Profile Visibility
Control who sees your profile:
- Organization members: All team members in your orgs
- Campaign members: Only people in campaigns you're in
- Private: Minimal information visible
Profile Settings → Privacy → "Profile Visibility"
Activity Visibility
Choose what others see about your activity:
- ✅ When you view candidates
- ✅ Your comments
- ⬜ Your online/offline status
- ⬜ Last active timestamp
Profile Settings → Privacy → "Activity Settings"
Data Sharing
Control optional data sharing:
- ⬜ Usage analytics (helps improve product)
- ⬜ Anonymized hiring data (benchmarking)
- ❌ Share personal information with third parties (never)
Profile Settings → Privacy → "Data Sharing"
Integrations
Connected Accounts
Link external accounts:
- Google: For Drive integration
- LinkedIn: Import candidate profiles
- Slack: Notifications and updates
- Calendar: Schedule interview reminders
To connect:
- Profile Settings → "Integrations"
- Click "Connect" next to service
- Authorize access
- Connected
To disconnect:
- Find integration
- Click "Disconnect"
- Confirm
API Access (Enterprise)
Generate API keys for custom integrations:
Profile Settings → Developer → "API Keys"
- Click "Generate New Key"
- Name the key
- Set permissions
- Copy key (shown once)
- Use in your applications
Security: Treat API keys like passwords.
Organization Management
Switch Organizations
If you're part of multiple organizations:
Top navigation → Organization dropdown
- Click current organization name
- Select different organization
- Context switches entirely
Note: Notifications, campaigns, and candidates are org-specific.
Leave Organization
Remove yourself from an organization:
- Organization Settings → "Members"
- Find yourself
- Click "Leave Organization"
- Confirm
Warning: Can't undo. Rejoining requires new invitation.
Account Deletion
Deactivate Account
Temporarily disable your account:
- Profile Settings → "Account"
- Click "Deactivate Account"
- Choose reason (optional)
- Confirm
What happens:
- Can't log in
- Profile hidden
- Don't receive emails
- Data preserved
- Can reactivate later
Delete Account Permanently
Profile Settings → Account → "Delete Account"
Warning: This is permanent and irreversible.
What's deleted:
- Your profile
- Personal data
- Comments (anonymized, not removed)
- Activity history
What's preserved:
- Candidates you added (reassigned)
- Campaigns you own (reassigned to admin)
- Organization data (you're removed)
Process:
- Click "Delete Account"
- Confirm via email
- 30-day grace period
- Permanent deletion after 30 days
Export Your Data
Download all your personal data:
Profile Settings → Privacy → "Export My Data"
Includes:
- Profile information
- Activity history
- Comments and feedback
- Candidates you added
- Assessments you requested
Format: JSON file delivered via email within 24 hours.
Use for: Backup, GDPR compliance, moving to another system.
Keyboard Shortcuts
Enable/disable keyboard shortcuts:
Profile Settings → Accessibility → "Keyboard Shortcuts"
View all shortcuts: Press ? while in the app.
Customize shortcuts (Enterprise): Assign your preferred keys.

High Contrast Mode

Font Size
