Archiving Campaigns
Keep your campaign dashboard clean and organized by archiving completed hiring campaigns.
When to Archive
Archive a campaign when:
- Position is filled: You've hired someone for the role
- Hiring is on hold: Role is temporarily paused
- Campaign is complete: You've finished evaluating all candidates
- No longer relevant: Requirements or role have significantly changed
Don't archive if: You might add more candidates soon or the role is still actively recruiting.
How to Archive
Archive a Single Campaign
- Open the campaign
- Click the three-dot menu (•••) in the top right
- Select "Archive Campaign"
- Confirm your choice
Bulk Archive Campaigns
From the campaigns dashboard:
- Select multiple campaigns using checkboxes
- Click "Bulk Actions"
- Choose "Archive Selected"
- Confirm
What Happens When You Archive
Data is preserved:
- All candidate information remains intact
- Assessment results are still accessible
- Team comments and notes are saved
- Export functionality still works
Changes to access:
- Campaign moves to "Archived" tab
- Doesn't appear in active campaigns list
- Can't add new candidates (without unarchiving)
- Team members retain read-only access
Viewing Archived Campaigns
- Go to Campaigns dashboard
- Click "Archived" tab at the top
- Browse or search for archived campaigns
- Click to view historical data
Unarchiving Campaigns
Need to reopen a position? Unarchive anytime:
- Find the campaign in "Archived" tab
- Open the campaign
- Click "Unarchive"
- Campaign returns to active status
Use case: Role opened up again, or you want to add more candidates for comparison.
Deleting vs Archiving
Archiving (Recommended)
- ✅ Keeps all historical data
- ✅ Can be restored anytime
- ✅ Useful for future reference
- ✅ Helps track hiring patterns over time
Deleting (Permanent)
- ⚠️ Permanently removes all data
- ⚠️ Cannot be undone
- ⚠️ Deletes all candidate assessments
- ⚠️ Removes team collaboration history
Recommendation: Archive instead of delete unless data privacy requires permanent removal.
Organizing Archived Campaigns
Search Archived Campaigns
Use search to find old campaigns:
- Search by job title
- Search by date range
- Search by hiring manager
- Filter by department
Export Before Archiving
Download campaign data for offline records:
- Open campaign
- Click "Export Data"
- Choose format (CSV or PDF)
- Save to your records
- Then archive
Data Retention
Archived campaigns are retained according to your organization's data retention policy:
- Standard: Retained indefinitely
- Custom: Based on your organization settings
View your retention policy in Organization Settings > Data Management.
